The Calouste Gulbenkian Foundation is a private institution whose main purpose is to improve people’s quality of life through art, charity, science, and education. The Foundation carries out its activities from its headquarters in Lisbon, and from its branches in Paris and London.

The Finance and Investment Department manages the Foundation’s financial assets, both its investment portfolio as well as the various bank accounts, with the aim of obtaining returns compatible with the Foundation’s level of expenses, while ensuring its perpetuity. The Department is also responsible for managing investments, treasury and accounting, and for monitoring portfolio consultants, auditors, banks and insurance companies, as well as for all relationships with suppliers and customers regarding payment and collection of invoices.

We are seeking to reinforce the Finance and Investment Department team of the Calouste Gulbenkian Foundation with a Third Party Management Assistant, to take responsibility for supporting the management of the Foundation’s relationships with third parties, whether suppliers or customers, ensuring all the necessary contacts and records.

Contractual conditions: Permanent Employment Contract.

Main Responsibilities 

  • Ensure the manual recording of invoice and expense documents, carrying out the respective checks.
  • Liaise between suppliers and the Calouste Gulbenkian Foundation, clarifying all existing doubts on legal issues and assumptions.
  • Review the accounts and run reports on customers, as well as on other debtors and creditors.
  • Review customer accounts and prepare the respective reports.
  • Establish contact with insurers and insurance brokers, actively participating in the creation of new insurance whenever required, and constantly update and renew existing insurances.
  • Support and collaborate in internal and external audits, providing clarifications to auditors and consultants, monitoring physical counts, and providing the requested evidence.
  • Support the development of accounting reviews and reports, with a view to making information available, ensuring that it is provided within defined deadlines and with established quality indices, providing the various interlocutors with the information required for decision-making processes. 

Required skills

  • Graduate degree in Accounting or in a similar field.
  • Knowledge of SAP, Office, and tax regulations.
  • Good grasp of English.
  • Minimum 1 to 2 years’ experience in similar responsibilities.
