Project Manager Assistant – Online Collections

The Calouste Gulbenkian Foundation is a private institution whose fundamental purpose is to improve people’s quality of life through art, philanthropy, science, and education. The Foundation carries out its activities from its headquarters in Lisbon and its offices in Paris and London.

We are looking for a Project Manager Assistant to join the Calouste Gulbenkian Museum who will provide operational and administrative support to ensure the successful development and completion of the Online Collections project. The role will involve working in accordance with applicable standards, procedures, and regulations, while monitoring compliance with project timelines, budgetary requirements, and the overall quality of the activities and initiatives delivered.

Contract type: Fixed-term employment contract (18 months)

Key Responsibilities

  • Manage, describe, and standardise information within museum collection management systems, ensuring compliance with national and international standards and best practices in the management and documentation of museum collections;
  • Organise, manage, and maintain up-to-date project documentation related to the Online Collections initiative;
  • Contribute to the digital preservation of cultural heritage content, ensuring accessibility, interoperability, and reusability within an open-access framework;
  • Support digital initiatives aimed at promoting the Museum’s collections online, enhancing their visibility and public engagement in line with internal policies and international best practices;
  • Collaborate with the Museum’s curatorial team in the review and updating of the Collection inventory.

Qualifications and Skills

  • Bachelor’s and/or Master’s degree in History, Art History, Museology, Information Curation, or related fields;
  • A minimum of 12 months of professional experience in similar roles;
  • Demonstrated ability in organising, managing, and providing access to information;
  • Intermediate proficiency in the InArte collection management system or similar collection management platforms;
  • Fluency in Portuguese and English, both written and spoken;
  • Strong communication skills, analytical thinking, and excellent planning and organisational abilities.
