PR, Sales, and Customer Service Coordinator

The Calouste Gulbenkian Foundation is a private institution whose main purpose is to improve people’s quality of life through art, charity, science, and education. The Foundation carries out its activities from its headquarters in Lisbon, and from its branches in Paris and London.

We are seeking a PR, Sales, and Customer Service Coordinator to join the Central Department team, who will be responsible for ensuring the coordination of all activities related to public relations and protocol, and sales and customer service, in both the back and front office.

Contractual conditions: Permanent employment contract.

Main Responsibilities

  • Define and propose — for approval by Management — the activity plan and annual budget for this area of responsibility, ensuring the coordination of all work processes and activities.
  • Ensure the reporting of management information (performance indicators), with a view to providing all the necessary information for decision-making processes.
  • Identify improvements to working methods and systems, proposing the appropriate changes. Review management information, reporting any deviations from expected goals, while identifying the respective corrective actions.
  • Ensure the allocation of tasks among the various team members, controlling their outcomes and implementing initiatives that promote team development, while fostering communication and team spirit.
  • Monitor and manage all outsourcing contracts in the areas assigned to the position, ensuring their updating and optimization, while also ensuring the effective and efficient fulfilment of all planned activities.
  • Ensure current budget management, carrying out initiatives that promote the achievement of goals, while monitoring operational results.
  • Ensure the required coordination and communication with the various departments of the Foundation, with a view to collecting and providing the data, information or any documents required for conducting the various activities. 

Required Skills

  • Minimum 15 years’ experience in similar responsibilities
  • Graduate degree
  • Good command of both Portuguese and English languages
  • Excellent analytical, interpersonal, and communication skills
