Internship: Human Resources Administrative Technician

The Calouste Gulbenkian Foundation is a private institution whose fundamental purpose is to improve people’s quality of life through art, charity, science, and education. The Foundation operates from its headquarters in Lisbon and delegations in Paris and London.

The Gulbenkian Institute of Science (Instituto Gulbenkian de Ciência – IGC) is an international centre dedicated to biological and biomedical research, innovative postgraduate training, and the transformation of society through science. With 26 research groups, cutting-edge technology, and specialised support services, the IGC is focused on solving future challenges and promoting a sustainable planet.

We are looking to reinforce the IGC team with a Human Resources Administrative Technician, who will provide support and ensure the development of administrative activities of the service.

Contractual conditions: 12-month professional traineeship.

Main responsibilities

Administrative support

Ensuring a response to the various existing demands and requests within the service, respecting the deadlines previously defined.

Include / Exclude Employees in the Health insurance plan and provide assistance in matters related to the same.

Management of medical appointments.

Registration of Research Fellows in non-degree courses.

Preparation of Declarations.

Mail handling

Receiving, sorting, classifying and forwarding correspondence and other documents addressed to the department, with the aim of ensuring that they reach their respective recipients in a timely manner.

Archive

Ensuring the archive of the service documentation, separating it according to subject or type of document, respecting archive rules and procedures. Digital and physical archive management.

Registration and updating of information

Registering and updating data in the tools and applications that support the area’s activity, contributing to the availability and reliability of the information. Drawing up various types of HR reports.

Required skills

  • 12th grade
  • Good document management and administrative skills
  • Mastering of Microsoft Office tools
  • Written and spoken proficiency in Portuguese and English
