Internal Regulation on Media Accreditation

1. Object and scope

  1. 1.1. This regulation defines the rules applicable to the accreditation of journalists and other media professionals for the news coverage of concerts, recitals, and other artistic, cultural, or scientific events organised or co-organised by the Calouste Gulbenkian Foundation, hereinafter referred to simply as the Foundation.
  2. 1.2. Its provisions apply to all spaces and public activities promoted by the Foundation, unless expressly stated otherwise.

2. General principles

  1. 2.1. The Foundation recognises the right of journalists to access and collect information, under Article 9 of the Journalist Statute (Law No. 1/99 of 13 January, as amended) and Article 37 of the Constitution of the Portuguese Republic.
  2. 2.2. The accreditation of journalists aims to ensure a balance between the exercise of press freedom and the security, logistical, and copyright- and image-related requirements inherent to the event’s organisation.
  3. 2.3. Access is guaranteed under conditions of equality and transparency, and no discrimination between media outlets is allowed, provided that the rules set out herein are respected.

3. Accreditation request

  1. 3.1. Accreditation requests must be submitted at least 7 working days before the event, using the form available on the Foundation’s official website or via the email address indicated by the Communication Department.
  2. 3.2. The request must include: 
    1. Full name and professional press card number of the journalist;
    2. Media outlet represented;
    3. Type of coverage intended (text, photography, video, radio, etc.);
    4. Direct contact details (mobile phone and email).
  3. 3.3. The Foundation’s Communication Department will inform the journalist of the result of the application no later than 3 working days before the event date.

4. Approval criteria

  1. 4.1. Accreditation may be subject to conditions or refused in the following cases: 
    1. Limited venue capacity, when the number of requests exceeds the press spaces available;
    2. Failure to prove a professional relationship with a recognised media outlet;
    3. Non-compliance with deadlines or formal requirements;
    4. Restrictions on copyright, image rights or recording imposed by artists or producers;
    5. Security- or public-order-related reasons, duly justified.
  2. 4.2. Where valid requests are equal in all respects and within the available capacity, priority may be given to media outlets of national scope, considering their reach and dissemination capacity, without prejudice to the equitable treatment of other media.

5. Rights and obligations of accredited journalists

  1. 5.1. The accredited journalist is entitled to:
    1. Access the event and the areas designated for the press;
    2. Receive logistical support from the Communication Service, within available resources;
    3. Receive authorised informational materials, press releases, and audiovisual content.
  2. 5.2. The accredited journalist is bound by the rules governing the use of the space and must, in particular:
    1. Follow the instructions of the organisation and security teams;
    2. Respect the indicated seating and schedules;
    3. Not disrupt the normal course of the performance;
    4. Respect restrictions on sound and image recording;
    5. Identify themselves whenever requested.

6. Use of image, sound, and video

  1. 6.1. The recording and use of sound, images, or video are subject to prior authorisation by the Foundation and, when applicable, by the artists or copyright holders.
  2. 6.2. Recorded material must be used exclusively for informational and non-commercial purposes.
  3. 6.3. Any reuse or sharing for promotional purposes requires express authorisation.

7. Revocation of accreditation

  1. The Foundation reserves the right to revoke or suspend accreditation whenever:
    1. There is a breach of these regulations;
    2. There is disrespectful conduct or behaviour that compromises the normal course of the event;
    3. The material collected is misused.

8. Final provisions 

  1. 8.1. The granting of accreditation does not confer the right to unrestricted access to all Foundation spaces, but only to the areas designated for journalistic coverage.
  2. 8.2. Omissions or exceptional situations will be assessed by the Communication Department.
