The Calouste Gulbenkian Foundation is a private institution whose fundamental purpose is to improve people’s quality of life through art, charity, science and education. The Foundation carries out its activities from its headquarters in Lisbon and its branches in Paris and London.

We are looking to strengthen the Central Services Warehouse team with a Warehouse Assistant. This role is essential in supporting the supply of the Calouste Gulbenkian Foundation’s shops, handling the accurate reception of merchandising materials, publications, and related products. Key responsibilities include ensuring accurate inventory records that align with physical stock levels, preserving the quality and condition of stored items, and minimizing discrepancies through regular condition assessments and partial inventory counts.

Contractual conditions: Permanent employment contract.

Main responsibilities

  • Ensuring that material is received, notifying the department that requested it or for which it is intended. Checking quantities, informing the responsible organisations and entering the product into the system.
  • Collecting elements for the material register;
  • Ensuring that any inconsistencies identified by the Store Manager in terms of the original barcodes are resolved, redirecting the situation to the warehouse;
  • Ensuring the supply of the Lisbon Book Fair, surveying needs through the system;
  • Participating in warehouse inventories, in accordance with the rules and procedures in force;
  • Managing the material in the warehouse, ensuring correct storage/arrangement of the material, monitoring it and putting the necessary information into the system;
  • Supplying the materials requested by the Stores, monitoring needs through the system and liaising with the Store Managers on how to meet actual needs. Collecting materials from the warehouse and preparing them for dispatch, checking (checking) what is delivered to the shop, collecting the necessary signatures on the delivery notes. 

Required skills

  • Completion of 12th grade or equivalent education
  • 2 to 3 years of experience in a similar role
  • Strong communication and teamwork skills
  • Knowledge of SAP (preferred)
  • Archive management
  • Forklift operation
