The Calouste Gulbenkian Foundation is a private institution whose main purpose is to improve people’s quality of life through art, charity, science, and education. The Foundation carries out its activities from its headquarters in Lisbon, and from its branches in Paris and London.

We are looking for a Public Relations Officer to work in the Central Services team, providing support for the activities carried out at the Gulbenkian Foundation, including the organisation of events.

Contractual conditions: Permanent employment contract.

Principal responsibilities

  • Providing support to events and speakers visiting the Calouste Gulbenkian Foundation, liaising between the Foundation and the organisation, ensuring the quality of the service provided and contributing to the success of the initiatives. Accompanying and providing logistical support for lunches, dinners and cocktail events held at the Foundation.
  • Collecting and organizing all the information and documentation necessary for organizing the various events and initiatives, filing and forwarding it whenever necessary.
  • Supporting the collection, if applicable, of all the information relating to quality control and drawing up the respective reports for the catering service in accordance with the rules and within the previously defined deadlines.
  • Liaising between the different concessionaires, organising and promoting support between them and the Calouste Gulbenkian Foundation services.
  • Analysing and managing catering information and services, entering the data associated with this service into the system. Sending internal catering invoicing requests to the various people in charge, in compliance with the rules and processes in force.
  • Liaising and communicating with the various areas of the Foundation to collect and provide data, information or documentation necessary for the development of activities.

Skills required

  • Degree in Public Relations or similar
  • At least 1 to 2 years’ experience in a similar role
  • Excellent customer service and event support skills
  • Expertise in event support management tools (ARTIFAX)
  • Proficiency in written and spoken Portuguese and English
