The Calouste Gulbenkian Foundation is a private institution whose main purpose is to improve people’s quality of life through art, charity, science, and education. The Foundation carries out its activities from its headquarters in Lisbon, and from its branches in Paris and London.

The Culture Programme plays a critical role in the creation and dissemination of Contemporary Art and Culture in its various aspects.

We are seeking a Production Assistant to join the Culture Programme team, which will be responsible for supporting the management of multidisciplinary, complex, experimental, inclusive exhibitions and projects, offering different experiences with art, aimed at a wide range of audiences. Such projects are developed internally, and with external partners, curators, artists and researchers.

Contractual conditions: Fixed-term Employment Contract (2 years)

Main Responsibilities 

  • Manage relationships and contacts with artists and employees on initiatives promoted by the Foundation, as well as with different partners of such initiatives, including external lenders, following any contracts, formal lending requests, letters, lending agreements, among other formalities. Keep the archive of all such documents duly up-to-date and available for consultation, and prepare facility reports to be sent to the responsible entities.
  • Request import licenses with Immunity from Seizure, from DG Arts and from the Ministry of Culture, in order to obtain approval for importing art works to be exhibited at the Museum, carrying out all the procedures related to the import request in accordance with the rules and procedures in force.
  • Prepare the list of art works displayed at exhibitions, including recording all the information regarding lending conditions, the amount of the insurance, and image and dissemination credits, in order to summarize all the information, facilitating its access by third parties whenever required.
  • Organize the artists’ trips and stays, ensuring that all the information required for booking trips is provided correctly and in a timely manner.
  • Make payment requests arising from exhibitions and associated events.
  • Carry out the articulation and coordination with the AV team in order to ensure that the exhibitions take place with the necessary audio-visual conditions.
  • Support the movement and reception of external artworks, providing all necessary telephone and in-person support.

Required skills

  • Graduate degree in Humanities.
  • Proficiency in English.
  • Good command of Microsoft Office.
  • Minimum 4 years’ experience in similar responsibilities.
