The Calouste Gulbenkian Foundation is a private institution whose main purpose is to improve people’s quality of life through art, charity, science, and education. The Foundation carries out its activities from its headquarters in Lisbon, and from its branches in Paris and London.

The Gulbenkian Modern Art Centre (CAM) is an art and culture centre that brings together the largest collection of modern and contemporary Portuguese art to date. Located in a renovated building, with a new garden extension, CAM’s mission is to enhance the transformative power of art in fostering social and individual change.

We are seeking to strengthen the team at CAM with an Exhibition Production Assistant, to take responsibility for ensuring the management and monitoring of external lenders of works of art and their registration, in accordance with the exhibition guide and the procedures and rules in force, ensuring the implementation of best practices in their use.

Contractual conditions: Permanent Employment Contract.

Main Responsibilities 

  • Manage the contacts with various external institutions / lenders, following formal lending requests, letters, lending agreements and contracts. Keep this documentation file up-to-date and available for consultation, and prepare facility reports to be sent to the various responsible entities.
  • Request import licenses with Immunity from Seizure, from DG Arts and from the Ministry of Culture, in order to obtain approval for importing art works to be exhibited at the Museum, carrying out all the procedures related to the import request in accordance with the rules and procedures in force.
  • Prepare the list of art works displayed at exhibitions, including recording all the information regarding lending conditions, the amount of the insurance, and image and dissemination credits, in order to summarize all the information, facilitating its access by third parties whenever required.
  • Organize the artists’ trips and stays, ensuring that all the information required for booking trips is provided correctly and in a timely manner.
  • Make payment requests arising from exhibitions and associated events.
  • Carry out the articulation and coordination with the AV team in order to ensure that the exhibitions take place with the necessary audio-visual conditions.
  • Support the movement and reception of external artworks, providing all necessary telephone and in-person support.

Required skills 

  • Graduate degree in Fine Arts, History, Education or similar fields;
  • Proficiency in English;
  • Good command of Microsoft Office;
  • Minimum 4 years’ experience in similar responsibilities.
