The Calouste Gulbenkian Foundation is a private institution whose fundamental purpose is to improve people’s quality of life through art, charity, science and education. The Foundation operates from its headquarters in Lisbon and its branches in Paris and London.

We are seeking an intern in Events Management to join our Central Services team and support the organization of events and initiatives at the Gulbenkian Foundation.

Contractual conditions: One-year Professional traineeship contract

Main responsibilities

  • Support the review and analysis of various internal and external requests for hosting events and using Foundation spaces.
  • Oversee the booking process for events, ensuring alignment with other Foundation activities. Assess the availability of Foundation spaces as needed, coordinating with planned events to accommodate external requests.
  • Assist with event production by assessing needs and expectations, conducting site visits, and showcasing available facilities.
  • Provide support in cost analysis and invoicing for events, following established policies and procedures.
  • Distribute post-event satisfaction surveys when applicable, analyze feedback, and contribute to improvement plans based on responses.
  • Regularly track and update activity reports to ensure information on ongoing processes is accessible and up-to-date.
  • Contribute to management reporting within the area, focusing on performance indicators and essential information to support decision-making processes.

Required skills

  • Degree in Communication, Tourism, Social Sciences, or a related field
  • No prior experience required
  • Basic knowledge of event planning and management
  • Strong communication and interpersonal skills
  • Excellent planning and organizational abilities
