The Calouste Gulbenkian Foundation is a private institution whose main purpose is to improve people’s quality of life through art, charity, science, and education. The Foundation carries out its activities from its headquarters in Lisbon, and from its branches in Paris and London.

We are seeking to reinforce the Art Library and the Archive team with a Documentation Officer, which will be responsible for customer service, for the physical treatment of collections, for carrying out tasks related to the circulation and physical management of collections and storage rooms, and for developing ongoing preservation and conservation initiatives.

Contractual conditions: Permanent Employment Contract.

Main Responsibilities

  • Provide customer service in the Reading Room, assisting and guiding users.
  • Search and retrieve information using digital tools and methods.
  • Control and manage requests for bibliographic works.
  • Perform all routines required to control the circulation of bibliographic works.
  • Identify any works in poor condition, with special consultation or reproduction needs.
  • Carry out, when required, simple reconditioning of bibliographic works.
  • Develop and regularly review the service schedule map for the Reading Room and Storage service teams.
  • Perform maintenance, control and update tasks on the collection of reference monographs and periodical issues, on display in the Reading Room.
  • Collaborate in the preparation of technical or activity management documents, namely by submitting indicators on the activity carried out.
  • Ensure the proper functioning of all facilities and equipment intended for public use.

Required skills

  • 12th grade and professional training in the Library, Archive and Documentation fields. (Holding a graduate degree is a plus);
  • Minimum of 1 to 2 years’ experience in a similar role;
  • Knowledge of Art History;
  • Proficiency in English;
  • Familiarity with Horizon library management software.
