The Calouste Gulbenkian Foundation is a private institution whose primary purpose is to improve people’s quality of life through art, charity, science, and education. The Foundation carries out its activities from its headquarters in Lisbon, and its branches in Paris and London.

We are looking for an Assistant Stage Manager to join the Central Services / Stage and Audiovisual Production team, who will be responsible for supporting the planning of an Event, Conference, Film, Concert, or Performance, throughout all stages of the process; supporting the Stage Manager in addressing the production’s needs, implementing the stage director’s (or conductor’s, in the case of a concert) vision, participating in the preparation of plans and layouts for stage installations, and distributing all relevant information to the technical teams involved; and assisting in the management of rehearsal rooms, according to the needs of musicians, singers, and stage directors.

Contract type: Permanent employment contract.

Main Responsibilities

  • Support the Stage Manager upon receiving the event’s technical rider and participate in its analysis together with the technical coordinator.
  • Assist in the on-site execution of the event alongside the assigned team.
  • Help prepare and operate the cue script in collaboration with the various technical teams involved in the production.
  • Support the management of stage equipment, including keyboard instruments (pianos, organs, and harpsichords), arranging for their tuning and maintenance.
  • Receive artists when required, assign dressing rooms, and provide suitable rehearsal spaces and instruments for pianists, harpsichordists, and organists.
  • Identify the instruments required for a given concert, ensuring their maintenance and tuning according to the artist’s specifications, with the service requested by the Stage Manager from the relevant specialists.
  • Participate weekly in coordination meetings with department heads to plan and review activities, preparing the necessary documentation to guide the setup and execution of each project.
  • Contribute to the development of schedules and plans for each project, according to its complexity, ensuring smooth execution.
  • Assist in creating stage layouts and plans in line with artistic and technical needs, and distribute them to the stage crew.
  • Participate in the preparation of cue scripts in musical score format, in the case of opera or concert productions.

Required Skills and Qualifications

  • Minimum of 2 years of experience in similar roles.
  • Broad experience across performing arts disciplines, including classical orchestra, opera, dance, and theatre.
  • Bachelor’s degree in Theatre, Stage Management, Performing Arts, or related fields (preferred).
  • Proficiency in Portuguese and English; knowledge of French is an advantage.
  • Proficiency in MS Office and drawing/design software.
  • Excellent analytical, interpersonal, and communication skills.
