Administrative Technician – Support to Garden Maintenance and Educational Programming

The Calouste Gulbenkian Foundation is a private institution whose fundamental purpose is to improve people’s quality of life through art, philanthropy, science, and education. The Foundation carries out its activities from its headquarters in Lisbon and its branches in Paris and London.

We are looking for an Administrative Technician to join the Central Services team, who will be responsible for providing technical and administrative support to Garden Maintenance and Educational Programming, ensuring the timely and proper execution of tasks with the aim of delivering a high-quality, reliable service aligned with the organization’s needs.

Contractual conditions: Permanent employment contract

Main responsibilities

  • Provide support to the Gulbenkian Garden’s Educational Programming activities, ensuring the management of space reservations, appropriate setup, and the acquisition and organization of required materials. Support instructors in the preparation and delivery of activities, including during weekends, and ensure the reception and guidance of participating groups.
  • Ensure the organization, classification, and archiving of various types of documentation in accordance with established standards and procedures, guaranteeing the preservation and accessibility of information. Also responsible for uploading, registering, and archiving documentation in the Gulbenkian Digital Archive.
  • Provide support to the Maintenance area by processing requisitions and ensuring all administrative procedures necessary for carrying out maintenance interventions. Contribute to monitoring operational needs, ensuring the availability of information and resources required for the smooth running of maintenance activities.
  • Manage the Garden’s materials and consumables by monitoring stock levels, responding to internal requests and identifying needs, ensuring that orders are placed and tracked so that essential supplies are always available for day-to-day activities.
  • Manage the recording and updating of data by processing, entering and maintaining information in the tools and systems that support administrative operations, covering both the Garden and other areas as required, ensuring the reliability and continuous availability of data.

Required competencies

  • Bachelor’s degree
  • Minimum of 3 years’ experience in Administrative Technician roles
  • Proficiency in English
  • Strong planning and organizational skills
  • Flexibility and adaptability
  • Communication and collaboration skills
  • Strong interpersonal skills
