The Centro de Arte Moderna Gulbenkian (CAM) is an art and culture centre that brings together the largest collection of modern and contemporary Portuguese art. Located in a renovated building, with a new garden extension, CAM’s mission is to enhance the transformative power of art in fostering social and individual change.

We are looking for a Registrar Assistant to join our team at CAM, who will be responsible for supporting the Collections / Exhibitions Registrar in activities involving planning, handling and registration of works of art in collections / exhibitions, and works of art owned by other entities that are kept at the CAM reserves, in accordance with the rules and procedures in force, while ensuring the implementation of best practices in accordance with all mandatory conservation requirements.

Contractual Conditions: Permanent Employment Contract.

Main Responsibilities

  • Provide support in the verification and preparation of all documents required for handling works of art, acting as the contact point between the Gulbenkian Foundation and the requesting party. Create lending, display and handling records in the Inarte database. Organize all associated documentation in digital format, keeping it available for consultation.
  • Support the Registrar in checking the locations of the works selected for each exhibition, and collaborate in opening the exhibition and handling files in the Inarte database. Make photographic records to document the location and state of conservation of works of art.
  • Support the Registrar and the Curator responsible for Acquisitions / Donations when works of art are received at the Gulbenkian Foundation, namely by collaborating in checking the state of conservation of such works of art and in preparing the Condition Reports.
  • Support the process of assigning the usual location for each work in the Reserves, in conjunction with Museography, while making the respective location record in the Inarte database.
  • Personally monitor the handling of works of art within the Foundation’s internal spaces (reserves, galleries, technical areas, etc.); create the handling sheet, and record the location of each work of art in the Inarte database. Organize the associated documents in digital format, keeping it available for consultation.
  • Collaborate in the preparation of Condition Reports, regarding works of art that have been purchased, as well as for those available for lending and for exhibiting, plus recording them in the Inarte database.
  • Provide support when works of art are stored in reserves, in collaboration with the Registrar and with the Museography and Curatorship teams.
  • Provide support to the Registrar in compiling the information / documentation required to support internal and external audits, in accordance with the appropriate standards and requirements.
  • Ensure the filing of all documents created and received in connection with handling works of art, organizing the individual lending files (by year, by entity) in digital medium, and providing the necessary support in the selection of documents to be sent to the Gulbenkian Foundation’s historical archive.

Required skills

  • Graduate Degree and Master’s in Museology and / or History of Art and Restoration, or similar fields.
  • Minimum of 1 to 2 years’ experience in similar positions.
  • Proficiency in English.
  • Good command of Microsoft Office.
