The Calouste Gulbenkian Foundation is a private institution whose main purpose is to improve people’s quality of life through art, charity, science and education. The Foundation carries out its activities from its headquarters in Lisbon and its branches in Paris and London.

We are looking to strengthen the Central Services Purchasing team with a Purchasing Manager. This position is responsible for guaranteeing the formalization and acquisition, under the best market conditions, of the goods and services necessary for the development of the Foundation’s activities, considering the guiding principles of social, economic and environmental sustainability.

Contractual conditions: Permanent employment contract

Main responsibilities

  • Ensuring the operational interface with the various Gulbenkian Foundation departments, namely alignment with objectives, project management, among others, in order to meet their needs;
  • Supporting internal customers in their purchase requests on an ongoing basis, ensuring their satisfaction (quality, costs, processing time);
  • Coordinating RFP processes and analysing supplier offers;
  • Preparing negotiation processes/agreements, drawing up the various specifications and tender documents, selecting suppliers, analysing tenders and drawing up evaluation reports;
  • Ensuring the monitoring and constant integrity of the process for approving expenditure and approving purchases, guaranteeing compliance with the regulations established by the Gulbenkian Foundation;
  • Ensuring that the best price conditions are negotiated with suppliers, taking into account the Gulbenkian Foundation’s savings objectives;
  • Ensuring the management of suppliers, monitoring their invoicing;
  • Promoting and implementing projects to optimise purchasing functions and activities;
  • Ensuring the creation and coding of articles;
  • Ensuring the quality and integrity of the database supporting the purchasing process, ensuring that it is constantly updated;

  • Drawing up and monitoring performance and control indicators and KPIs for Gulbenkian Foundation’s purchasing activities;
  • Ensuring the reporting of the area’s management information (performance indicators) to the Director, with a view to providing him with the necessary information for decision-making processes;
  • Contributing to the continuous improvement of processes and tools.

Skills required

  • Degree in engineering, management, law or similar field;
  • At least 4 years’ professional experience in a similar role;
  • Good knowledge of English (spoken and written);
  • Advanced knowledge of Excel;
  • Advanced command of SAP, as a preferential factor;
  • High communication and negotiation skills;
  • High goal-orientation.
