The Calouste Gulbenkian Foundation is a private institution whose fundamental purpose is to improve people’s quality of life through art, charity, science and education. The Foundation carries out its activities from its headquarters in Lisbon and its branches in Paris and London.

We are looking to strengthen the Central Services Purchasing team with a Purchasing Coordinator. This position is responsible for coordinating the formalisation and acquisition, under the best market conditions, of the goods and services necessary for the development of the Foundation’s activities, considering the guiding principles of social, economic and environmental sustainability.

Contractual conditions: Permanent employment contract

Main responsibilities

  • Ensure leadership of the entire Procurement cycle, in accordance with the Gulbenkian Foundation’s guidelines;
  • Ensuring the implementation of Gulbenkian’s procurement strategy, following up on defined targets and KPIs;
  • Accompanying and monitoring the activities carried out by the team, namely establishing and prioritising the various tasks and ensuring the existence and availability of the necessary resources to carry them out;
  • Ensuring that activities are carried out in accordance with the operational plans defined, ensuring that deadlines are met;
  • Proposing and coordinating the development of initiatives to optimise purchasing and logistics processes, defining procedures, rules and actions to control and monitor processes and ensuring compliance with them;
  • Ensuring that the total cost of purchases is optimised;
  • Developing and promoting the Gulbenkian’s purchasing manual, drawing up the necessary procedures and service instructions, ensuring and carrying out their harmonisation, updating and continuous improvement;
  • Managing, controlling and guaranteeing the integrity of supplier and material data, as well as all commercial information (namely price lists);
  • Supervising the process of negotiating price conditions with suppliers, ensuring that the Gulbenkian’s savings objectives are met;
  • Ensuring regular monitoring of markets and suppliers in order to identify the most efficient and innovative;
  • Ensuring the strategic flow of information between Purchasing, Management and Suppliers;
  • Ensuring the continuous improvement of processes and tools. 

Skills required

  • Degree in engineering, management, law or similar field;
  • At least 6 to 8 years’ professional experience in a similar role;
  • Good knowledge of English (spoken and written);
  • Advanced Excel skills;
  • High leadership and team management skills;
  • High communication and negotiation skills;
  • High ability to analyse and solve problems;
  • High goal-orientation.
