The Calouste Gulbenkian Foundation is a private institution whose fundamental purpose is to improve people’s quality of life through art, charity, science and education. The Foundation operates from its headquarters in Lisbon and delegations in Paris and London.

The Gulbenkian Institute of Science (IGC) is an international centre dedicated to biological and biomedical research, innovative postgraduate training and the transformation of society through science. With 26 research groups, cutting-edge technology and specialised support services, the IGC is focused on solving the challenges of the future and promoting a sustainable planet.

We are looking to reinforce the IGC team with an Administrative Assistant who will support the Management of the institute.

Contract conditions: 12-month paid professional traineeship.

Main responsibilities

  • Carry out administrative and support work for the IGC management office;
  • Processing internal orders/purchases made by the Directors;
  • Organisation and management of digital and physical archives;
  • Handling various documents (e.g. agreements and letters received and issued);
  • Supporting the organisation of Board Meetings (pre-meeting, during and after);
  • Providing general secretarial support to the Institute’s Management.

Required skills

  • Bachelor’s Degree or Secretarial Course (training completed less than 3 years ago);
  • Mastering of Office tools (Excel, Word, Outlook);
  • Capacity for teamwork;
  • Good communication and interpersonal skills;
  • Spoken and written use of the English language, corresponding at least to B2 level;
  • Good planning and organisational skills, ability to meet deadlines and attention to detail.
