Facilities and Maintenance Technical Manager. Applications until 21 Feb

The Calouste Gulbenkian Foundation is a private institution whose main purpose is to improve people’s quality of life through art, charity, science, and education. The Foundation carries out its activities from its headquarters in Lisbon, and from its branches in Paris and London.

We are seeking to reinforce our Central Department team with a Facilities and Maintenance Managing Engineer. This Technical Manager shall take responsibility for ensuring that the maintenance plan for the Calouste Gulbenkian Foundation’s facilities and buildings is properly implemented, ensuring that all buildings are well-maintained, while providing for the implementation of all interventions defined in both the investment plan and the building maintenance plan.

Main Responsibilities

  • Ensure medium- and long-term planning for all maintenance activities related to the Calouste Gulbenkian Foundation’s facilities and buildings, particularly in the area of civil construction. Provide necessary support to address various issues, acting as a facilitator between the maintenance team and other departments.
  • Support the management and coordination of maintenance and construction projects by working closely with the teams involved, monitoring progress, and ensuring adherence to schedules and quality standards.
  • Prepare investment plans, when applicable, to guide interventions, evaluate scenarios, and identify potential risks, ensuring strategic decision-making and efficient allocation of resources.
  • Develop detailed specifications to document the obligations of all parties involved and outline the technical conditions for executing construction works.
  • Perform technical supervision and monitoring of works carried out by internal and external teams, ensuring all activities meet defined requirements and maintain high standards.
  • Maintain comprehensive and timely records of all works not carried out by external contractors, particularly in the areas of security, stage machinery, civil construction, and environmental management.
  • Monitor installations and implement necessary updates or adaptations, ensuring compliance with deadlines and quality expectations.
  • Plan preventive and corrective maintenance activities in collaboration with external entities, including managing consultations, tenders, procurement processes, and negotiations regarding costs and scope of work.
  • Assist the Area Director in managing various aspects of outsourcing contracts by monitoring and evaluating the performance of external contractors to ensure alignment with the Foundation’s objectives.
  • Provide accurate and timely reporting of management information, including performance indicators, to support informed decision-making processes.

Required Skills

  • Pre-Bologna Graduate Degree or Master’s Degree in Electrical Engineering, Mechanical Engineering or similar fields;
  • Proven experience in maintenance management, technical management of buildings, and electronic security systems.
  • Proficiency in English, both written and spoken.
  • Strong communication skills
  • Highly goal-oriented.
