Editing Assistant with Project Management Skills

The Calouste Gulbenkian Foundation is a private institution whose main purpose is to improve people’s quality of life through art, charity, science, and education. The Foundation carries out its activities from its headquarters in Lisbon, and from its branches in Paris and London.

The Calouste Gulbenkian Museum houses one of the most important private art collections in the world, assembled during his lifetime by Mr Calouste Sarkis Gulbenkian, with works spanning five thousand years of art, from Ancient Egypt to the 20th century. In addition to its Collection, the Gulbenkian Museum organizes temporary exhibitions and other activities such as guided tours, workshops, conferences, among other activities.

We are seeking to reinforce the Calouste Gulbenkian Museum team with an Editing Assistant with Project Management Skills, to take responsibility for supporting the development process of all types of content, in any type of means of dissemination and information support of the Museum, such as collection catalogues, brochures and exhibitions, ensuring that all contents are ready, edited and translated for being sent to production within established deadlines and within the expected quality levels.

Contractual conditions: Fixed-term employment contract (6 months).

Main Responsibilities

  • Create or provide editing support to publications and promotional materials (texts, subtitles, leaflets, catalogues); support the preparation of all contents intended for these formats, ensuring dissemination and access to information by the public.
  • Carry out and support the preparation of promotional materials for exhibitions, editing and reviewing the respective texts. Organize the folder with exhibition contents.
  • Participate in the preparation of publication scripts, preparing them along with the Editing Project Manager; monitor the designer’s work on the layout of the piece to be developed, especially in terms of text content, and that of other parties involved on such piece, and ensure the completion of the various stages of each publication.
  • Support the production of various materials by coordinating the different parties involved, such as reviewers, designers, translators, among others, liaising with everyone, ensuring the production and quality of the materials developed.
  • Support the Editing Projects Manager when original content arrives for publications and for exhibitions, and then edit and review such content, sending it for translation, ensuring its review and validation by the authors.
  • Forward budgets to the Secretariat and make payment requests internally, bridging the gap between the payments department and the service provider, ensuring that accounts are closed.

Required Skills

  • Bachelor’s or Master’s degree in Editorial Studies, Editing, Museology or History of Art
  • Minimum 2 to 3 years’ experience in similar responsibilities
  • Good communication and teamwork skills
  • Good command of written and spoken Portuguese and English language
  • Master Microsoft Office tools
